Cancellations must be received by Tuesday, July 18, 2017 to avoid loss of show fees.
All cancellations must be in writing (preferably emailed) and submitted to the office 60 days prior to the event to be issued a credit (good for 2 years).
VA Sales Tax Rate is 6%
10’x10’ – All work, display and storage will not extend beyond the assigned exhibitor space. Please keep storage off the sidewalks and walkways; we need them clear for handicap access. Important!! Please bring extra weights for your canopies in the event of unforeseeable weather.
Generators must be less than 5.5 kW (5500 watts). If higher, the generator will be removed. Please note refueling of generators shall not be done within 20 feet of the tent structures. Flammable and combustible liquids must be stored at least 50 feet from the tent or canopy.
Space assignments will be posted on Thursday, September 14th on ArtFestival.com.
Space requests must be received at least 2 weeks prior to the show; however, please remember this is only a request and not a guarantee.

Set-up will begin on Saturday as early as 3:30AM. Between 3:30AM and 5:30AM you will only be permitted to unload onto the sidewalk by your space. This is a very tight set-up with narrow streets. After 3:30AM, you may set up your tent on the sidewalk. The purpose of this is to have an unobstructed set-up with no vehicles in the street. Once you are unloaded, please remove your vehicle from the show site and head to the designated parking areas below. All vehicles must be off the street at the show coordinator’s discretion which will be around 5:30AM. At around 5:30AM you will then be allowed to begin setting up your tent and fixtures. Please do not start any earlier than 5:30AM or it will slow down setup. If you arrive after 5:30AM, be prepared to dolly from a side street. Set-up must be complete by 9:15AM. Please be open for business by 9:30AM on Saturday and Sunday.
If you have not arrived by 7:45 A.M. on Saturday, we will consider you a “no show” and you will be at risk of losing your space. We appreciate your attention to this matter. For the courtesy of others, please do not smoke near your booth or your neighbors’ booths for set up, breakdown or show hours. Please remember that you can only display the category that you were juried in for. For example, unless you were juried in for jewelry, you can't display jewelry. (Please refer to our rules and regulations list.)
Please do not bring any oversized vehicles or RVs into the show site prior to the time designated on this confirmation. These are parking lots of active businesses. You will be asked to leave and run the risk of being towed. We have adopted a policy of ZERO TOLERANCE in this matter, as it puts our parking sites in jeopardy for future use when you fail to adhere to the rules.
Breakdown will begin at 5:00 P.M. on Sunday, but vehicles will not be allowed in until approximately 6:15 P.M. Sunday. The city regulations require that there will be no sales allowed after 5:30 P.M. This is a contractual arrangement with the City of Alexandria, they have asked the staff of HAE to enforce this instead of the police. ***ON SUNDAY, WE URGE EVERYONE TO PLEASE BREAK DOWN YOUR ARTWORK and BOOTH, BEFORE GOING TO GET YOUR VEHICLE *** PLEASE BRING YOUR VEHICLES IN AND OUT THE LEGAL WAY OF TRAFFIC. If there are still spectators walking around, vehicles will not be allowed in until the show coordinator gives the O.K. PLEASE BE CONSIDERATE AND LEAVE YOUR AREA CLEAN (i.e., CABLE TIES, GARBAGE, Etc.) Although security will be provided, we strongly urge you to take your items out of your booth on Saturday night. Your tent will stay up on Saturday night.

Your booth display should match the booth display picture that was submitted with your Zapp application. There are no exceptions to this rule. If you have any display changes prior to the festival, you must resubmit your booth image for approval. If you add tables, bins, or change the look of your booth from your Zapp photos, you will be asked to remove the items that are not in your Zapp photos.
The Tent Guys is a full service tent rental company specializing in art tents and Pro Panel rentals. They eliminate the hard part of set up by taking care of the set up and break down of tents. Other services included with your rental are booth sitters, water deliveries, and on-site service for weather emergencies.
For your safety, as well as your wellbeing and that of your neighbors’, your booth, display and art must be properly weighted and secured (40 pounds per leg is recommended). Please adhere to this policy, as Howard Alan Events’ staff and city Fire Marshals will be checking your weights periodically. Non-compliance may result in your removal from a show. PLEASE HELP US IN AVOIDING THIS FROM HAPPENING TO YOU.
A parking permit must be displayed in vehicle’s front windshield, identifying the artist. Failure to do this can result in the towing of your vehicle. Artist parking locations are listed below.
Very Important: Absolutely NO PARKING on any side streets; you will be found and moved, so please, kindly do it right from the beginning.

There are 3 city-owned parking garages that will accommodate cars and small vans and you can park overnight. Please see attendant on duty for times and fees for each lot. There is a fee for parking at these garages.

Directions:
Show site is on King Street between Washington and Union Streets in Old Town Alexandria. (King runs perpendicular to the Potomac River and Union runs parallel to the Potomac). Alexandria is located off the Capital Beltway (I-95 and I-495) which encircles Washington D.C. Take exit 177-B off the Beltway and follow signs to the Visitors Center, which is located on King Street in the Old Town Historic District of Alexandria.

Be sure to take advantage of these opportunities, as many artists and crafters have found them to be very successful.
